Post description
Reporting to the Sales Department, you play a key role combining Sales Administration and Commercial Support. You provide direct support to the sales teams and act as a central coordination point with internal departments (logistics, finance, project management, compliance).
Your mission is to ensure smooth and accurate order processing, while actively contributing to sales follow-up and customer relationships.
Key Responsibilities
Customer Order Management
- Receive and register customer orders.

Verify order compliance: pricing, commercial terms, delivery schedules, and consistency with the customer quotation.

Accurately maintain the ERP system: creation of sales orders/projects, sales entry (product codes, lead times, etc.).

Issue Order Acknowledgements (OA).

Set up Letters of Credit when required, in coordination with Finance.
Logistics & Delivery Follow-up

Verify Incoterms in accordance with established rules.

Coordinate information flow between Logistics, the customer, and the Project Manager / Business Supervisor.

Manage delivery delays and disputes: act as the primary customer contact and liaise with internal teams.
Invoicing & Payment Follow-up

Issue invoices and credit notes.

Monitor payments in coordination with Accounting.

Follow up on outstanding payments.
Sales Support & Customer Relations

Provide administrative and operational support to sales teams.
-
Prepare commercial documentation and ad-hoc analyses.

For off-the-shelf products, provide information on pricing, lead times, and availability, in coordination with internal departments.

Support sales teams on Incoterms.

Handle customer claims related to invoicing and transport disputes for off-the-shelf products, in coordination with Logistics.
Administration & Reporting

Update customer databases, order history, and CRM data (HubSpot).

Produce dashboards and reports: sales, forecasts, lead times.

Apply commercial and legal procedures, with Compliance support.

Review and verify gross margin documentation.
Profile required
-
You have proven experience in Sales Administration, Commercial Support, or B2B Commercial Administration, ideally in an industrial and international environment.

You are detail-oriented, customer-service driven, and have a strong ability to coordinate multiple stakeholders.

You possess excellent written and verbal communication skills.

You are proficient with ERP systems and office tools (MS 365).

You have a good level of English, both written and spoken.
