This is a unique opportunity to join a fast-growing international company, work in a cross-cultural environment, and directly contribute to the success of our U.S. team.
Your Role
As our Office Manager, you will be the backbone of our U.S. office operations. You’ll ensure smooth day-to-day administration, support our team locally, and act as a key liaison between the U.S. subsidiary and our headquarters in France.
Key Responsibilities
- Administration & Coordination
- Oversee daily office administration and documentation.
- Act as the main point of contact with the France headquarters (finance, office management, HR, communication, events).
- Manage relationships with local service providers (banks, insurance, accounting, legal, etc.).
- Finance Support for Cailabs US
- Track invoices, expenses, and vendor payments.
- Liaise with the French accounting team to ensure accurate consolidation and reporting.
- HR & Team Support
- Support onboarding and administrative tasks for new hires.
- Provide day-to-day support to the U.S. team and coordinate with France for consistency.
- Logistics & Events
- Organize business travel and manage logistics for team visits or trade shows.
- Support internal and external events in collaboration with the France office.
Profile required
What We’re Looking For
- Proven experience as an Office Manager, Executive Assistant, or Administrative Coordinator.
- Strong organizational and multitasking skills, with the ability to work independently.
- Excellent communication skills and a collaborative mindset.
- Comfortable using modern office and collaboration tools (Teams).
- Familiarity with U.S. administrative, HR, or accounting practices.
- Able to communicate in French is a strong plus (daily interactions with HQ in France).
